The Room Edit Privacy Notice

This notice explains how Studio Aniela collects, uses, stores and shares personal information when you enquire about, book or receive The Room Edit service. It also explains your data protection rights.

1 Who is responsible for your information

Studio Aniela is the data controller for the personal information described in this notice.

2 Information this notice covers

This notice applies to Room Edit enquiries, bookings, questionnaires, optional calls and in-home reviews, project communications, digital design packs and related customer support. A separate cookie notice should explain the cookies and similar technologies used across the website.

3 Personal information collected

Contact details. Your name, email address, telephone number and correspondence address where relevant.

Booking and transaction details. The service and add-ons booked, price, booking date, payment status, invoices and refund information. Studio Aniela does not receive your full card number from Stripe.

Room and project information. Your room address where needed for an in-home review, room photographs or video, measurements, layout, furniture and belongings, approximate purchasing budget, rental restrictions, inspiration images, preferences, practical needs and project priorities.

Communications. Emails, questionnaire responses, call notes, refinement requests, complaints and other correspondence.

Technical and website information. IP address, device and browser information, website activity, cookie choices and similar information collected through the website and its service providers.

Marketing and permission records. Your marketing preferences and any separate permission you give for a testimonial, project image or design extract to be used in a portfolio or marketing.

Image safety. Please avoid including people, private documents, keys, alarm panels, security codes or other unnecessary personal or security information in room images and videos.

5 Health accessibility and sensory information

Studio Aniela does not require medical information to provide The Room Edit. You may choose to explain an accessibility, disability, health or sensory need if it is relevant to how the room should work for you. This may be special category personal data. It will only be used to tailor your design recommendations if you give separate explicit consent, and you can withdraw that consent at any time. Do not provide more detail than is needed.

6 If you do not provide information

Some information is needed to assess your room, take payment and produce the design. If you do not provide accurate photographs, measurements, preferences or other information reasonably requested, Studio Aniela may be unable to start or complete the service. Optional marketing, portfolio and special category permissions are not a condition of booking.

7 Where information comes from

Most information comes directly from you. Studio Aniela may also receive payment status and limited transaction information from Stripe, website and form information from Squarespace, and information from a person acting with your authority, such as another member of your household.

8 Who information is shared with

Personal information is shared only where needed for the purposes in this notice. Recipients may include:

Squarespace and other website, form and analytics providers used to operate the website and collect enquiries.

Stripe and relevant banks or payment providers used to process payments, refunds and fraud checks.

Email, cloud storage, document, video-call and business software providers used to manage and deliver the service.

Accountants, insurers, legal advisers and other professional advisers where reasonably necessary.

HM Revenue and Customs, courts, regulators, law enforcement or other authorities where disclosure is required or permitted by law.

Independent tradespeople or suppliers only where you ask for an introduction or give permission for your details to be passed on.

Service providers may only use personal information for the services they provide to Studio Aniela and must protect it under their contracts and applicable law. Studio Aniela does not sell personal information.

9 International transfers

Some technology providers may store or access information outside the United Kingdom. Where UK data protection law requires safeguards, Studio Aniela will rely on an adequacy decision, the UK International Data Transfer Agreement or Addendum, or another lawful transfer mechanism, together with appropriate security measures.

10 How long information is kept

These periods may be shortened where information is no longer needed or extended where necessary for a complaint, legal claim, safeguarding concern or legal requirement. Back-up copies are removed through the relevant provider's normal deletion cycle.

11 How information is protected

Studio Aniela uses proportionate technical and organisational measures to protect personal information. These include access controls, password protection, secure payment processing, limited access to project files, software updates and secure deletion practices. No internet or storage system is completely secure, but reasonable steps are taken to reduce the risk of loss, misuse or unauthorised access.

12 Your rights

Depending on the circumstances, you may have the right to:

ask for a copy of your personal information;

ask for inaccurate or incomplete information to be corrected;

ask for information to be deleted;

ask for use of information to be restricted;

object to processing based on legitimate interests or to direct marketing;

receive certain information in a portable format; and

withdraw consent at any time where consent is the lawful basis.

These rights are not absolute and exemptions may apply. To make a request, contact [BUSINESS EMAIL]. Studio Aniela may need to verify your identity before responding and will normally respond within one month.

13 Marketing

You can stop marketing emails at any time by using the unsubscribe link or contacting [BUSINESS EMAIL]. Opting out of marketing will not stop service messages about an active booking or project.

14 Cookies and website analytics

The Studio Aniela website may use necessary cookies and, if you agree, analytics or other non-essential cookies. Non-essential cookies should not be set until you make a choice. The website should provide a separate cookie notice and a consent tool that explains the cookies used, their purposes, providers and duration, and lets you change your choice.

15 Children

The Room Edit is intended to be booked by adults aged 18 or over. The service is not directed at children and Studio Aniela does not knowingly collect children's information for booking purposes. If a child's bedroom is being designed, the adult client should avoid sharing unnecessary identifying information about the child.
